AGENDA CAPTION:
Consideration of and action on authorization of a Contract with Municipal Code Corporations, Inc., in the amount of $58,143.20 through the Texas Department of Information Resources Cooperative Purchasing Contract No. DIR-CPO-4453, for Laserfiche software maintenance.
RECOMMENDED ACTION:
Staff recommends approval for the purchase of the Laserfiche Software Maintenance from Municipal Code Corporations, Inc. in the amount of $58,143.20.
EXECUTIVE SUMMARY:

Laserfiche is the software program utilized by the City of Sugar Land for the Electronic Document Management System (EDMS). This software provides storage and enhanced search capabilities for documents that have been scanned or imported into the system. Laserfiche allows the City to better serve citizens through accurate and precise document control using multiple approvals throughout the life of the document.

 

In addition, Laserfiche supports the development of automated forms and workflow; record retention schedules; and record lifecycle auditing. This contract is with Municipal Code Corporation, Inc. (MCCi), the vendor who administers the maintenance contract and provides primary software support for the City of Sugar Land.

 

This request is to renew the City's Laserfiche maintenance agreement with MCCi for a period of one year, with term agreements starting January 29, 2023 and ending January 28, 2024. The renewal entitles the City to receive regular software enhancements as they become available, assistance with installing and configuring upgrades and bug fixes, access to the MCCi Laserfiche training site, technical problem support, and assistance with utilizing the Laserfiche software suite.

 

The terms for the software and support of the Laserfiche modules are consistent with prior year purchases, and the funds for this contract are available in the IT Department's Operations and Maintenance Budget for FY 2023. All software and support herein will be purchased from MCCi through the Texas Department of Information Resources Contract (DIR-CPO-4453).

The Information Technology Department recommends that the City Council approve the software maintenance agreement renewal with Municipal Code Corporations, Inc., in the amount of $58,143.20.
