AGENDA CAPTION:
Consideration of and action on authorizing the execution of a Contract with Prescriptive Data Solutions LLC, in the amount of $211,110.90, through the General Services Administration Contract No. GS-35F-0349S, for the purchase of replacement network equipment.
RECOMMENDED ACTION:
The Information Technology Department recommends approval of a contract with Prescriptive Data Solutions, LLC, in the amount of $211,110.90, for the purchase of replacement network equipment, utilizing General Services Administration Contract No. GS-35F-0349S.
EXECUTIVE SUMMARY:
Each year the Information Technology (IT) department completes an evaluation of all active technology, and specific equipment is identified for replacement based on adopted useful life. IT Policy 101 “Technology Equipment Replacement” provides the criteria for the replacement of various technology that is utilized by all City Departments.

In addition to the proactive replacement of computers, IT Policy 101 also identifies the useful life of other critical technology. IT policy 101 includes a 5-year useful life for network equipment like switches that allow information to move between devices and a 10-year useful life for firewalls that protect our devices from cyber-attack and outside interference. IT policy 101 also includes a 10-year useful life for desktop telephone equipment.

Based on the results of this year’s assessment, the IT department has identified the need to replace a number of network switches, security firewalls, and desktop phones. The City maintains over 150 network switches, 10 firewalls, and 600 desktop phones across the organization. The contract seeking approval tonight includes all the equipment and parts necessary to replace 54 network switches, 3 firewalls, and 100 desktop phones.

All of this equipment has been standardized across the organization with products manufactured by Cisco System Inc. The City has a history of these products being reliable, and it is critical that these products be compatible with the other portions of the system.

These items are available for purchase through Prescriptive Data Solutions, LLC, under the General Services Administration GS-36F-0349S purchasing program. This purchasing program allows any City to purchase these items at a previously negotiated price for government entities. The total cost for this equipment is $211,110.90.

Funds for this purchase are budgeted in the Technology Replacement Fund.
