AGENDA REQUEST NO: IV.C.

AGENDA OF: City Council Meeting

INITIATED BY: Erik Schenck, IT Manager

PRESENTED BY: Erik Schenck, IT Manager

RESPONSIBLE DEPARTMENT: Information Technology

AGENDA CAPTION:
Consideration of and action on authorization of renewal of a one-year Agreement with Superion, LLC, a CentralSquare Company, in the amount of $152,515.99, for the Enterprise Resource Planning System annual software maintenance and support.
RECOMMENDED ACTION:
Authorization for the renewal of the Superion, LLC, annual software maintenance agreement in the amount of $152,515.99 to support the City's legacy Enterprise Resource Planning System.
EXECUTIVE SUMMARY:

Superion, LLC (previously SunGard Public Sector), is the software vendor for the City’s legacy Enterprise Resource Planning (ERP) system. It is the backbone of the City’s internal financial operations. This is a request to renew our software maintenance agreement with Superion for a final year. This renewal entitles the City to receive regular software enhancements, current user and system documentation, reporting, and 24/7 support.

Superion supported modules include:
• Document Management
• Building Permits/Code Enforcement
• Parcel Management
• Occupational Licenses
• Planning/Engineering
Fleet Management

• GMBA/Accounts Receivable
• Payroll/Personnel/Time and Attendance/HR
• Customer Information Systems
• Work Orders

The terms and fees for the software and support of applications are consistent with prior year charges within an annual contractual increase. These increases in maintenance fees are budgeted for and anticipated. Renewal of the Superion maintenance is budgeted within the Information Technology Department's FY21 Operating budget.

The existing system must remain in good working condition as the City continues implementing a new ERP System. The City anticipates this will be the final year of full maintenance from Superion as we transition to the new system.

The Information Technology Department recommends that the City Council authorize the expenditure with Superion, LLC, to support the Enterprise Resource Planning System in the amount of $152,515.99.
