INITIATED BY: Eric Oscarson, Assistant Director of Public Works

PRESENTED BY: Eric Oscarson, Assistant Director of Public Works

RESPONSIBLE DEPARTMENT: Public Works

AGENDA CAPTION:

Consideration of and action on authorizing execution of the CityWorks License and Maintenance Agreement in the amount of $120,000.00 between Azteca Systems, Inc. and the City of Sugar Land for Computerized Maintenance Management System support and updates for the renewal period October 01, 2017 through September 30, 2018.

RECOMMENDED ACTION:
Authorize the approval of the CityWorks License and Maintenance Agreement between Azteca Systems, Inc. and the City of Sugar Land in the amount of $120,000.00.
EXECUTIVE SUMMARY:

The City of Sugar Land currently utilizes Cityworks, an Azteca Systems, Inc. product, as our Computerized Maintenance Management System (CMMS).  Cityworks software is currently in use at the Surface Water Treatment Plant, Public Works/Utilities, and Environmental and Neighborhood Services Code Enforcement. In addition, it is currently in development and will be deployed by the end of the  year for Parks and Recreation and Airport Departments. This software is a GIS-centric public asset management solution that handles service requests, work orders, preventative maintenance schedules and projects. The software allows the City to generate reports on City assets and their associated attributes such as type, condition, installation date, etc. The relationship between assets and work orders is tracked and maintained so that a history of completed work orders against a specific asset is viewable and easily retrieved.

In 2013, City Council approved an Enterprise License Agreement with Azteca Systems for Cityworks, that was structured as a one-year contract with a possibility of three one-year extensions. In 2016, a Premium Enterprise License Agreement (ELA) was purchased which entitles the City to an Enterprise License, receive regular software enhancements/maintenance, current user and system documentation, and 24/7 support. The proposed agreement is structured as a one-year contract with a possibility of three, one-year extensions. We have currently completed year one of the agreement and are now requesting the approval of the first renewal. Funding for the agreement is within the Public Works Department budget.

The Public Works Department recommends that the City Council authorize the approval of the Cityworks License and Maintenance Agreement between Azteca Systems, Inc. and the City of Sugar Land in the amount of $120,000.00.
