Consideration of and action on authorizing a Change Order reduction in the amount of $54,520.00 with Kustom Sweeping, LLC. for street sweeping services; and authorizing a budget reduction in the amount of $54,520.00.
RECOMMENDED ACTION:
Authorize the approval of a deduct change order in the amount of $54,520 with Kustom Sweeping, LLC., to remove supplemental State roadway sweeping, and add New Territory and Greatwood sweeping for the FY18 Street Sweeping Contract
EXECUTIVE SUMMARY:

As part of the City’s Street Sweeping Program, the Public Works Department is responsible for procuring services from a qualified street sweeping company for Street Sweeping Services. On August 12, 2015 ITB 2015-31 advertised for bids. On August 27, 2015 one bid was received and evaluated. The qualified low bidder is Kustom Sweeping, LLC. . The contract is a structured as a five year agreement, which includes the original term plus four additional opportunities to automatically renew each fiscal year in the amount of $281,462.64.            

 

The current contract provides for monthly street sweeping of high volume roadways and major intersections. In addition, the contract provided for street sweeping services along TxDOT roadways, however, this contract does not provide for sweeping services for residential streets.

 

During the FY18 budget approval process, it was determined that some service levels needed to be reduced to provide a balanced budget. It was determined to eliminate the supplemental sweeping of State roadways, which allowed for an $85,000 reduction.

 

The structure of the revised contract is as follows:

Budget Reduction -$85,000.00
Annexation Increase $30,480.00
Total Budget $226,942.64
Total Reduction -$54,520.00

 

Funding for this contract is available through the Public Works Operations & Maintenance budget for FY18.  The New Territory and Greatwood additions have been programmed and funded through the annexation budget.

 

The Public Works Department recommends that the City Council approve this deduct change order in the amount of $54,520 with Kustom Sweeping, LLC., to remove supplemental State roadway sweeping, and add New Territory and Greatwood sweeping for the FY18 Street Sweeping Contract.
